This document concerns the privacy statement of Heidi Lampén Therapy and Coaching, located at c/o Mesta Coworking, Mechelininkatu 19 lh. 63, 00100 Helsinki, Finland, hereinafter referred to as 'Heidi Lampén’. Heidi Lampén is responsible for processing personal data as outlined in this privacy statement.

Personal data that we process

Heidi Lampén processes personal data because you use our services and/or because you provide this data to us yourself in the context of information provision and/or services. Personal data that are processed:

• First and last name

• Gender

• Date of birth

• Address details

• Phone number

• Email address

• Bank details

• Further personal details in therapy dossiers and/or coaching dossiers

Special and/or sensitive personal data that we process

Therapy and/or coaching dossiers contain personal data as mentioned above under 'personal data that we process'. Depending on the subject of the therapy and/or coaching, this may also involve sensitive and/or special personal data.

For what purpose and on what basis do we process personal data

Heidi Lampén uses your personal data exclusively in the context of the services you require and those to be provided by Heidi Lampén. This includes the following goals:

• To create and maintain a coaching or therapy dossier 

• To deliver goods or services to you

• To be able to call or e-mail you if this is necessary to be able to perform our services

• To inform you about changes to our services and products 

• To handle your payment(s)

• To send our newsletter and/or promotional materials, if you have registered for this

• To be able to conduct customer satisfaction surveys

• Heidi Lampén also processes personal data if we are legally obliged to do so, such as data that we need for our tax return.

For how long do we keep personal data

Heidi Lampén does not store your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected, and to comply with applicable laws and regulations. We use the following retention periods for the following (categories) of personal data:

• Therapy or coaching dossiers: 5 years after the end of the treatment/coaching relationship, unless shorter retention is requested in writing or longer retention is required by applicable Finnish health care or data protection legislation.

• Administration and invoices: 6-10 years as required by the Finnish Accounting Act (Kirjanpitolaki 1336/1997) and tax legislation.

• Other contact details: a maximum of 1 year after the last contact, unless you request in writing that Heidi Lampén delete data earlier. 

• Data website visitors: in line with the standard settings of Google Analytics, this data is stored for 2 years after the visit to the website.

Sharing personal data with third parties

Heidi Lampén only provides data to third parties if and when this is necessary for the execution of our agreement with you, or in order to comply with a legal obligation.

Cookies, or similar techniques, that we use

Heidi Lampén uses functional, analytical, and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet, or smartphone when you first visit this website. Heidi Lampén uses cookies with a purely technical functionality. These ensure that the website works properly and that, for example, your preferred settings are remembered. These cookies are also used to make the website work properly and to optimize it. In addition, we place cookies that keep track of your surfing behavior so that we can offer customized content and advertisements. On your first visit to our website, we already informed you about these cookies, and we asked for your permission to place them.

You can opt out of cookies by setting your internet browser so that it no longer stores cookies. In addition, you can also delete all information that was previously stored via the settings of your browser.

Viewing, modifying, or deleting data

You have the right to view, correct, or delete your personal data. In addition, you have the right to withdraw your consent to the data processing, or to object to the processing of your personal data by Heidi Lampén, and you have the right to data portability. This means that you can submit a request to us to send the personal data we have about you in a computer file to you or another organization mentioned by you.

You can send a request for access, correction, deletion, or data transfer of your personal data or a request for withdrawal of your consent or objection to the processing of your personal data to heidi@heidilampen.com.

To ensure that the request for access has been made by you, we ask you to send a copy of your proof of identity with the request. Make your passport photo, MRZ (machine-readable zone, the strip with numbers at the bottom of the passport), passport number, and Social Security Number or other national identification number black in this copy. This is to protect your privacy. We will respond to your request as soon as possible, but definitely within four weeks.

How we protect personal data

Heidi Lampén takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification.
